Key responsibilities
The Receptionist is the first point of contact for members, guests and visitors, providing a warm, professional and consistent Clockwise welcome. As a frontline representative of the business, the Receptionist plays a key role in creating a positive first impression while supporting the smooth day-to-day operation of the building.
Working closely with the Community Manager and wider Community Team, the Receptionist ensures reception areas are well-presented, visitor and member enquiries are handled efficiently, and information is communicated accurately. The role helps maintain a welcoming, organised and professional environment that reflects Clockwise brand standards.

OBJECTIVES OF ROLE
- Deliver a professional, friendly and consistent Clockwise welcome to all members, guests and visitors.
- Provide excellent front of house service and act as the primary point of contact at reception.
- Support members and visitors with enquiries, meeting room bookings and day to day requests.
- Maintain high standards of presentation across reception and public areas.
- Assist with communication, administrative and operational tasks to support the wider Community Team.
- Contribute to a safe, organised and well-managed workplace environment.
- Demonstrate Clockwise values and behaviours in all interactions and daily responsibilities.
RESPONSIBLITIES
Trading & Business Performance
- Welcome and assist visitors and contractors, ensuring they are signed in, directed appropriately and managed in line with building procedures.
- Manage visitor arrivals on behalf of members, following established processes and individual member instructions to ensure a professional and seamless experience.
- Identify and appropriately direct all Clockwise sales enquiries and walk-in viewing requests to the Community Manager, Sales Team or relevant point of contact.
- Promote Clockwise products and services, including meeting rooms, day passes and coworking memberships, by identifying opportunities through interactions with members, guests and visitors.
- Support the smooth day to day operation of reception by maintaining accurate visitor records and communicating effectively with members and the wider team.
- Ensure reception and visitor areas remain welcoming, always organised and presented to Clockwise brand standards.
- Maintain GDPR-compliant member contact lists and reception directories, keeping key contacts informed of relevant building updates.
People, Community & Culture
- Support member communications by promoting upcoming events, available products, services and community initiatives.
- Capture, report and escalate member, visitor and building issues promptly, ensuring appropriate follow-up where required.
- Build positive relationships with members, guests, contractors and building partners, contributing to a welcoming community atmosphere.
- Support the wider Clockwise and building partner teams by assisting with the onboarding and induction of new starters where required.
- Assist the Community Team with the planning, promotion and delivery of member events and community activities.
Safety, Compliance & Operations
- Manage incoming post, deliveries and parcels, ensuring items are received, stored and distributed securely in line with building procedures.
- Manage access control processes, including issuing visitor passes and ensuring passes are returned and accounted for appropriately.
- Answer incoming telephone calls professionally, directing enquiries and taking accurate messages where required.
- Complete and record opening and closing procedures, along with regular reception checks throughout the day to ensure all areas remain clean, safe and presented to Clockwise brand standards.
- Ensure all visitors, contractors and delivery personnel are signed in and out in accordance with building procedures and compliance requirements.
- Maintain accurate visitor and contractor records and report any security or compliance concerns promptly.
- Follow all health, safety and compliance procedures, reporting hazards, incidents and maintenance issues as required.
- Promote safe working practices and contribute to a safe and welcoming environment for members, visitors and colleagues.
- Provide feedback to the Community Manager and Community Team Leader on standards of cleanliness, presentation, maintenance, security and safety within the building.
- Act as a Fire Warden when required, participating in fire safety, evacuation, major incident and other compliance training.
- Ensure clear handovers are provided to colleagues during breaks, shift changes and periods of absence to maintain seamless reception operations.
- Escalate operational issues, emergencies or member concerns to the appropriate person promptly and professionally.

- Ensure effective and compliant use of all business systems, including but not limited to HubSpot, Resonate, Expansive, Riskproof, Office RnD, Notion, Office 365

Key skills and experience
Hospitality and customer service experience is advantageous.
